LIVE PROGRAM SEARCH CRITERIA

Registered performing arts organizations that offer performances suitable for kindergarten and school-aged children (including secondary education) and can adapt to various touring venues are eligible to apply. Please note that performances consisting solely of music should apply through the Concert Center’s own program application, which opens in September.

LIVE Project Requirements Include the Following:

• the performance must be offered by a registered organization that fulfills the employer’s obligations
• the performance should be artistically high-quality and a completed production
• the performance should consider the target audience as well as the specific requirements of different venues and practices
• the duration of the performance in daycare centers should be 30–35 minutes, and in schools, it should be approximately 40–45 minutes
• the performance should be feasible to be carried out twice on the same day
• note: the performance fee will be paid for a maximum of 5 individuals

Performance Committee and Application Evaluation

The selection of the program for LIVE tours will be carried out by a designated Performance Committee consisting of professionals in the performing arts sector.

A video sample of the performance plays a crucial role in the selection process. The technical quality is not essential; however, the video should provide a clear idea of the performance content and artistic level. If possible, the video should also demonstrate the performers’ interaction skills with the target audience.

Tour Training

The producer from the Theater Center will meet with the selected groups for the program at least once. The meeting will cover practical aspects of the tour and address any emerging questions. No fee will be paid for the meeting.

Performance Coaching

The selected performance may receive 1-2 days of performance coaching with audience engagement experts chosen by the Theater Center. The aim is to adapt the performance for kindergarten and school tours. There is no payment for participating in performance coaching, but any travel and accommodation costs will be reimbursed.

Division of Responsibilities Between the LIVE Project and Performing Group

The Theater Center acts as an intermediary in the LIVE project’s touring model. The performing group is responsible for their performance-related matters, such as practical arrangements for tour days, transportation, stage setup, and communication with venue staff during the day.

The selected performance will:

• have the opportunity to offer their performance on the LIVE tour at a subsidized price and free of charge to some municipalities selected through a municipal application process
• have access to performance coaching specifically designed for kindergarten and school tours if necessary
• participate in the marketing of the LIVE program
• be able to document the performances for the community’s touring presentations

LIVE Project and Theater Center:

• is responsible for receiving orders, assembling and scheduling tours
• maintains communication with the customer and performing group before the tour
• arranges necessary travels, car rentals and accommodations
• covers travel and accommodation expenses and determining performance fees as agreed upon (see details in the Compensation Practices section)
• handles invoicing to the customer and manages financial transactions

Please note that being selected does not guarantee performance bookings since customers make their own choices.

The performing group is responsible for the following:

• practical implementation of the tour, including all the logistics, setup, and communication with venue staff during the tour days
• driving the tour van: someone from the group should be capable of acting as the driver during the tour if a vehicle is required
• production technology and other equipment: the necessary equipment for the performance should be provided by the group themselves as the performance venues generally do not have the required technical equipment
• the performing group must inform the Theater Center producer promptly if a performance is canceled for any reason (this allows for timely cancellation of travel and accommodation reservations, avoiding unnecessary expenses)
• reporting on the completed performances, this is a prerequisite for payment of performance compensation
• give feedback at the end of the project

COMPENSATION PRACTICES

Registered organizations that have offered performances can submit them to the Theater Center and enter into a service purchase agreement. The program provider invoices the Theater Center for the performance visits according to the completed performances on the tour.

All organizations are paid the same amounts for the implementation of performance tours regardless of the artistic field. The amount is determined based on the number of people involved in the performance (performers and technicians).

The LIVE project covers travel and accommodation expenses

Public transportation can be used for travel if the performance and tour destination allow it. However, tours mainly take place in small municipalities with difficult access, so public transportation is rarely possible. The use of private cars is recommended, and mileage reimbursement is paid according to the tax authority’s recommendations. If the group needs a rental car, the Theater Center primarily makes the reservation through its partner, Scandic Rent.

The Theater Center also handles accommodation reservations. If desired, performers can also stay with a friend or relative, and they will have accomodation allowance €15 per night.

The performing group invoices:

Performance fee: €285/show/person

• note: this is the invoiced amount, from which the registered community offering the performance pays the performer’s salary and other necessary expenses

Arrangement costs: €60/show

Mileage reimbursement: €0.53/km (2023)

• increase of €0.09/km for towing a trailer with the car
• increase of €0.04/km/person when other members of the performing group are present during transportation

Accomodation allowance: €15/night

Note: if the performing group invoicing for their performance activities is a VAT-liable operator, VAT should be included in the agreed amounts.

COPYRIGHTS

The registered community offering the performance is responsible for the copyrights of the performance and their payment. The project does not cover copyright fees. If music is used in the performance, the performing group takes care of the necessary Teosto notifications. The performance organizer is then responsible for the Teosto fees.

ABOUT THE TOUR

Workday

Tours are typically carried out on workdays with two performances. Performances are not sold individually; instead, they are organized into logistically feasible tours. However, ultimately, it depends on the number and location of orders. Unfortunately, the project cannot guarantee a specific number of performances, although efforts are made to ensure that all selected program lineups have the opportunity to tour.

Tour lineup and pricing

The tour lineup can consist of more than 5 people, but the prices are determined based on the number of individuals in the lineup, with the maximum price including 5 people. The tour lineup includes performers, technicians, and roadies. For example, if there are 3 performers and 1 technician, the pricing will be based on a lineup of 4 performers.

Other Considerations

Groups that can offer suitable content for different target audiences during the same tour often receive the most orders. The community can also apply with two different works using the same form, provided that the lineup is the same in both performances but the target audience is different.

Audience

For performances for kindergarten-aged children, an audience size of 50 people is recommended, and for performances for school-aged children, 150 people. In venues with larger audiences, two performances can be held in the same hall, but in smaller venues and spaces, tour performances may take place in different locations in the vicinity (0-50 km).

This should be taken into account when scheduling the tour performance. Typically, construction can begin in daycare centers and schools around 8 a.m., and within the framework of the school day, the performance with its set and implementation should be completed by 2 p.m., or 4 p.m. in kindergartens.

APPLICATION

The performance application is made through the Mubazar platform, which has been specifically developed for similar international music industry applications. The application deadline is Sunday, August 20, 2023, at 8:00 p.m.

The application should include at least:

• tour lineup (performers, technicians, etc.)
• summary of the performance flow
• works, creators’ information, and the composition of the touring group
• target age groups for the performance
• link to video material

Electronic application attachments:

• Link to video recording (YouTube and Vimeo videos). We encourage including the full-length recording of the performance as an attachment to the application. However, if it has not been possible to record the performance, you can also include a short compilation or rehearsal recording. The material should demonstrate the nature of the performance and the performers’ skills. The content and level of the performers will be evaluated, not the technical quality of the video. If possible, the video should resemble a real performance situation. The video will be used only for internal purposes of the project.
• Additionally, you can submit other relevant materials that provide essential information about the performance, such as photos.
• Please attach all materials directly to the application form.
